The terms governing the relationship between you and Study Gate RO S.R.L, and our full money-back policy if every university applied to issues a rejection.
Last updated: August 2026
These terms govern the services provided by Study Gate RO S.R.L (the “Company” or “we”) to the student or their guardian (the “Student” or “you”).
This page is a general summary. The binding contractual relationship is governed by the signed service agreement; in case of any conflict, the signed contract prevails.
The Company provides advisory and administrative facilitation services, including:
What the service does not include:
If every university the student applied to under the contract issues a rejection, the Company will refund in full all amounts paid to it for the university admission service, with no administrative deduction. The amount is transferred within 14 days.
University admission procedures in Romania normally take between 40 and 90 days from the date of official submission to the university — not from the date the contract is signed. This depends on each university's calendar and the pace of the admission committees and the Ministry of Education, and may extend during peak seasons or public holidays. The 90-day period is the maximum the Company commits to, counted separately for each university.
The list of universities applied to is set out in the contract or in a written annex signed by both parties. No additional or substitute university is applied to without the student's written approval. The Company undertakes to submit the application within 10 working days of the file being complete, and notifies the student in writing of the official submission date for each university and of every admission or rejection decision as soon as it is received. That written date is the sole reference for calculating the 90-day period.
If a university issues no official reply at all — neither an admission nor a rejection — the application is deemed rejected and the student's right to a refund arises at whichever of the following occurs first:
This provision applies to each university separately. The condition of “rejection from all universities” is met once every university on the agreed list has either issued an express rejection or is deemed to have rejected the application.
Once the refund is made the contract is considered terminated and the Company ceases to represent the student or to follow up any application on their behalf. If a late admission arrives after the refund has been completed, the student remains entirely free to use it at their own responsibility with no further payment owed to the Company, and the Company bears no responsibility for following it up or for the resulting registration or visa procedures.
If, after one university's rejection, the student chooses to apply to another, a fresh 90-day period runs for that university from its own official submission date. Periods are not aggregated and are not counted retroactively from the previous university. The file remains open and no right to a refund arises for as long as any university on the list has not issued an express or deemed rejection.
The Company's fee is for preparing the file and obtaining the university admission, and becomes fully due once the admission is issued. The visa, by contrast, is a sovereign decision of the Romanian embassy or consulate, entirely outside the Company's scope and impossible for anyone to guarantee.
Accordingly, a visa refusal, delay or failure to apply gives no right to a refund of the Company's fee, in whole or in part, provided the university admission was in fact obtained.
The same applies, after the admission has been issued, to: the student deciding not to travel, not enrolling at the university, deferring the academic year, or failing to meet residence requirements.
Fees paid to third parties (university application fees, sworn translation, legalisation and apostille, CNRED fees, embassy fees) are not part of the Company's fee and are not refundable by it, as they are paid directly to those bodies. These amounts are disclosed to the student in advance and separately.
As a consumer contracting at a distance, you may withdraw from the contract within 14 calendar days of signing, without giving reasons and without penalty, under Romanian Emergency Ordinance OUG 34/2014. A written notice to our email is sufficient.
If you expressly requested that we begin performing the service before the 14 days elapse and later withdraw within that period, the value of work actually performed up to the withdrawal date is deducted and the remainder is returned to you.
Your data and documents are processed under the EU GDPR and solely for university admission and visa purposes. For full details see our Privacy Policy.
The age of majority in Romania is 18. A person below that age does not have full capacity to enter into a binding contract or to consent on their own behalf to the processing of their personal data.
A student who declares an incorrect date of birth may not later rely on lack of capacity to invalidate the contract.
We handle any complaint directly and amicably first. Send your complaint to studygate.ro@gmail.com and we will respond within 5 working days.
If no resolution is reached, you may as a consumer refer the matter to the Romanian National Authority for Consumer Protection (ANPC) or to its Alternative Dispute Resolution mechanism (SAL):
Note: the European Online Dispute Resolution platform (SOL / ODR) was permanently closed on 20 July 2025 under EU Regulation 2024/3228. Under ANPC President Order no. 270/2026 of 19 May 2026, amending Order 449/2022, all references to SOL were removed and the national electronic platform reclamatiisal.anpc.ro is now the designated channel for consumer dispute resolution in Romania.
These terms and the service agreement are governed by Romanian law, and the Romanian courts in Bucharest have jurisdiction over any dispute not settled amicably, without prejudice to statutory consumer rights.
