We are committed to protecting your personal data in accordance with the EU General Data Protection Regulation (GDPR) applicable in Romania and the European Union.

2. Data We Collect

When applying through our website or upload form, we collect:

  • Identity data: full name, date and place of birth, nationality, passport number.
  • Contact data: email, phone/WhatsApp number, residential address.
  • Academic data: certificates, transcripts, language certificates.
  • Health data: the medical report mandatorily required by Romanian universities.

The medical report is classified as sensitive data under GDPR Article 9, and we process it solely with your explicit consent and only for the purpose of completing university registration.

3. Why We Collect Your Data

  • Submitting your admission application to the Romanian university of your choice.
  • Preparing your study visa file for the Romanian embassy.
  • Communicating with you about your application status and contracted services.
  • Fulfilling our contractual obligations under the signed service agreement.

Legal basis for processing: contract performance (Art. 6(1)(b)) and your explicit consent (Art. 6(1)(a) and 9(2)(a)).

4. Who We Share Your Data With

We share your data only with parties necessary to complete the service:

  • The Romanian university you are applying to.
  • The Romanian embassy or consulate for visa purposes.
  • The sworn translator and notary public when you request translation services.
  • Google LLC as our cloud storage provider (Google Drive).

We never sell your data or share it for marketing purposes with any third party.

5. Where Your Data Is Stored and For How Long

Your files are stored in a private, password-protected space on Google Drive, accessible only by authorized Study Gate RO staff.

  • Retention period: throughout the service period, and for one year afterwards for follow-up and review purposes.
  • After this period your data is permanently deleted, unless a legal obligation requires retention.
  • You may request immediate deletion at any time.

6. Your Rights Under GDPR

Right to erasureRequest permanent deletion of your data.
Right to withdraw consentWithdraw your consent at any time without giving a reason.

7. Data Security

  • All uploads are made over an encrypted connection (HTTPS).
  • Storage accounts are protected with two-factor authentication.
  • File access is restricted to authorized team members only.

8. Cookies

Our website does not use tracking or advertising cookies. We only use simple local storage to save your language preference (Arabic/English), which contains no personal data.
